The challenge

One operation, several different kinds of evidence.

Information was distributed across individual timesheets, company overviews, operational records and forecast messages. The service lines had different evidence and economics. Leadership needed a coherent view without conflating employee activity, customer-vehicle output, paid support work, forecast estimates and approved billable hours.

    Service-line operating model

    Separate workflows and measurement rules for drivers, cleaning and check-in, brought together in a management view. Forecasting and staffing decisions sit in planning; operational review and driver-efficiency analysis have their own views.

    Enables: A clear view of each service while coordinating the wider operation.

    Traceable operational evidence

    Historical source records structured into movement- and worker-day evidence, with standardised matching, duplicate checks, source references and explicit exceptions. Individual timesheets are reconciled against company overviews without counting the same day twice.

    Enables: Follow a management total back to its source and identify what still needs reconciliation.

    Overview-only hours can support a qualified recorded-hours total, but do not create timed activity or enter individual productivity rankings. Unknown durations and missing service data remain incomplete, not zero.

    Management and driver-performance views

    A selected-period command centre connects worked hours, customer-vehicle movements, support and repositioning activity, and service results. A dedicated performance view measures driver output per recorded work hour and shows relevant assignment context and evidence gaps.

    Enables: Investigate capacity and operating performance using comparable definitions; a raw ranking does not establish personal fault.

    Workforce economics and scenario model

    Effective worker-cost assumptions are connected to evidenced hours, service revenue and contribution. Current operating conditions and target commercial scenarios can be compared while actuals, estimates and assumptions remain distinct.

    Forecast-processing and planning workflow

    Distinct demand sources are processed according to their operational meaning. The planning logic separates incoming customer returns from transfer work, preserves source dates and distinguishes source totals from modelled allocations. Forecast volumes feed workload and capacity estimates.

    Enables: Translate demand signals into staffing questions without treating unlike flows as interchangeable.

    Automated extraction, validation and daily planning outputs are configured. Incomplete hourly coverage stays partial; capacity recommendations remain subject to source quality, model validation and management judgement.

    German management-reporting workflow

    Separate internal-management and external service-report outputs are generated from saved reporting snapshots and retained in a private archive. Reports show the period, completeness, provisional or final status, and delivery state; internal cost information is excluded from the external version.

    Enables: Consistent management review and controlled sharing of service evidence.

    Scheduled reports retain their source period and data-completeness status, with delivery tracked separately.

  7. 07Configured with approval gates

    Monthly billing-preparation workflow

    Three separate monthly hourly-service billing streams for drivers, cleaning and check-in are connected to the accounting workflow. Recorded hours, approved billable hours and invoice preparation remain distinct, with readiness checks before processing.

    Enables: Reconcile operational activity with commercial records without treating an unapproved timesheet as an authorised invoice.

    Personnel records and management controls

    An authenticated management area brings personnel information, document and compliance tracking, and payroll-export preparation into the operating workflow. Exceptions and approval responsibilities remain visible.

    Enables: Organise follow-up and prepare information for the responsible payroll or management process.

Interpretation precedes action.

Low movements per hour can reflect demand, assignment, waiting time or source completeness. A comparable indicator can focus investigation, but it cannot establish personal fault or decide a staffing response. The operating model requires evidence and context to be reviewed before performance or workforce action is approved.
